Translating an annual report: accurate figures, consistent terminology, tight deadlines

An annual report is translated under constraint: figures must remain untouched, terminology must be consistent across two hundred pages, and the publication date does not move. Here is how to proceed.

Start by naming the framework

"Résultat d'exploitation" has no single equivalent: depending on whether you publish under French standards or IFRS, the English translation will be operating income, operating profit or a line item defined by the framework. Translating a financial statement without knowing which one you are reading means inventing line items.

The first question to settle, before the first word: which framework, which version, and does an official translation of the line items already exist? Standard-setting bodies publish glossaries; when they exist, they are authoritative and no one has to reinvent a term.

Figures are not translated, they are reformatted

French writes 1 234 567,89; English writes 1,234,567.89. A mechanical replacement of commas turns a million into a three-decimal number. The rules to set explicitly before starting:

  • thousands separator and decimal separator for the target country;
  • table units — "en milliers d'euros" must remain at the head of each table, it is the mention one forgets;
  • sign for negative amounts: brackets or minus sign, according to local usage;
  • financial years: "year ended 31 December 2026" not a date in ambiguous format;
  • currency: never converted, except with explicit mention and dated rate.

And one check that cannot be delegated: take the ten main totals from the translated document and compare them with the source document, figure by figure.

Tables and notes to the accounts

The notes to the accounts often represent two-thirds of the volume and all of the risk. They consist of tables, numbered cross-references and recurring formulas. Three requirements:

  • each table row treated as a unit, so that columns do not shift;
  • cross-references "note 12" kept identical;
  • recurring formulas translated once and repeated identically—an annual report is not a stylistic exercise.

Meeting the timetable

The real constraint with an annual report is not the translation, it is the fact that the source text changes until the last moment. Two methods:

In waves. You translate the stabilised sections—group presentation, governance, risk factors—as soon as they are finalised, and you keep the financial statements for the end. This is what makes it possible to publish on the stated date.

In one pass, late. Only possible if the translation is measured in minutes rather than days. This is the case when the entire document is resubmitted at each new version: fifty pages in a few minutes, as many times as necessary, without renegotiating a deadline at each change.

Frequently asked questions

What we're asked on this subject

Does an annual report translation need to be certified?

Not as a general rule. What is filed and legally binding is the version in the language required by the competent market authority; the other versions are information documents. Check the rule for your listing venue, and clearly indicate which version is authoritative.

Can you translate an Excel file of financial statements?

Yes, whilst preserving the structure of the sheets and cells. Note: only text values are translated, formulas and numbers remain intact—which is exactly what you want.

How do you maintain the same terminology from one year to the next?

By maintaining a list of terms specific to your organisation and checking it during proofreading: no tool can guess that your organisation has been translating "produits constatés d'avance" in a precise way for five years.

Which level should you choose for a financial document?

Professional for a working document or internal communication, Premium for anything published: the cross-checking review goes over each passage with the source alongside, which is the only safeguard against omitting a line in a table.
