Translate a Quality SOP in Word into English
Upload the .docx of your standard operating procedure: Manuce assigns it to Dédale, its technical specialist, and returns the same file in English with its original tables, headers, numbering and styles. What remains for you is what makes an SOP work: the verbs of obligation, quality-system terms, dates and document codes.
What it costs
For a quality procedure (SOP) of about 3,500 words, into English:
To understand, internal use.
Ready to send, by the technical specialist.
Cross-checked. For documents that commit you.
Price for one language, original layout included. VAT not applicable — article 293 B of the French General Tax Code (CGI). The exact quote, based on your file's word count, is shown before you pay.
What changes when an SOP moves into English
Many source languages state obligations in the plain present tense: French l'opérateur vérifie, German der Bediener prüft. In English quality writing, that present tense should become an explicit requirement, and each modal verb carries a defined meaning:
- shall: requirement (the verb used in ISO standards);
- must: obligation, often preferred in plain-English procedures;
- should: recommendation;
- may: permission or possibility.
The trap is a procedure that mixes shall, must and checks for the same level of obligation. An English-speaking auditor will read them as different requirements. Operating steps, on the other hand, sit naturally in the imperative: Check the seal.
Quality-management vocabulary has settled equivalents too: nonconformity, corrective action, document control, record. A literal rendering, such as registration for a record, is easy to spot when you review.
Dates, numbers, codes and abbreviations
The short items in an SOP are the ones that raise most questions in English:
- Dates:
05/03/2025is 5 March in Europe but 3 May in the United States. For an international reader,2025-03-05removes the doubt. - Numbers: a decimal comma becomes a point (
2,5 °C→2.5 °C); a tolerance converted wrongly changes the instruction. - Document codes: an identifier such as
PRO-QUA-012 rév. 03must stay intact; only the abbreviation becomesRev. 03. - Acronyms: local forms such as French AQ or BPF become QA and GMP. If an internal acronym must stay as it is, check it in the free sample and then in the translation.
- Plurals: English has two forms (one, other): 1 sample, 0 samples, 2 samples. Zero takes the plural.
Coming from French, English text is usually 10 to 15% shorter, so table cells and title blocks gain space rather than overflowing.
What Manuce returns, and what it does not do
The procedure is translated by Dédale, Manuce's technical specialist. It translates:
- paragraphs and numbered steps;
- tables, including the revision history and the Prepared by / Reviewed by / Approved by block; a merged cell is translated and charged only once;
- headers and footers, where the code, revision and page numbering usually sit;
- text boxes.
The .docx is rebuilt run by run: fonts, sizes, colours, bold and italics, styles, numbering and table widths stay as in the original. An automatic check compares the layout of the translated document with the original and flags any difference. You receive the file in its original format, plus a Word version, a PDF and the plain text.
What is not done: automatic fields (table of contents, cross-references such as see 5.2) keep working, but their page numbers are not recalculated. Open the file in Word and update the fields. Manuce does not produce sworn or certified translations either.
Preparing the file and checking the English version
Before uploading:
- use the current approved version, with no tracked changes or open comments;
- make sure dates and tolerances are written unambiguously;
- note equipment, software or form names that must stay in the source language, so you can check them afterwards.
After delivery:
- update the fields so the contents page and cross-references are recalculated;
- scan the modal verbs and confirm that one level of obligation always uses one verb (shall throughout, or must throughout);
- check every value in acceptance-criteria tables;
- review headers: code, revision and title must match your document register.
The free sample, one paragraph translated at your chosen level before payment, is the right place to judge the register: pick a paragraph of requirements rather than the scope statement.
Status of the English version in your quality system
A translation is not a controlled document until you approve it. The English version of an SOP normally goes through your own review and approval cycle, with its own revision or a statement linking both versions, for example English translation of PRO-QUA-012 Rev. 03. State which version prevails if they diverge.
Choose the variety of English for your readers: British spelling (colour, organisation, labelling) for a UK site or general international use, American spelling (color, organization, labeling) for a US customer or subsidiary. Check in the sample which one is used.
If an authority requires a translation certified by a sworn translator, Manuce does not provide it. For operational use or sending to a partner, the Professional level gives a document ready to pass on.
In practice
- Upload the .docx of the current SOP, without tracked changes.
- Review the quote based on the exact word count and the free sample of a requirements paragraph.
- Pay, then download the translated .docx, the Word version, the PDF and the plain text.
- In Word, update the fields to recalculate the contents page and cross-references.
- Review modal verbs, figures and headers, then approve the English version in your system.
Frequently asked questions
Are the revision history and signature tables translated?
Yes. Tables are translated cell by cell and keep their original widths; a merged cell is translated and charged only once. Names and codes should stay identical, so check them when you review.
Will the table of contents be up to date?
Automatic fields keep working, but their page numbers are not recalculated during translation. Open the file in Word and update the fields to refresh the contents page and cross-references.
Will obligations be rendered with shall or must?
Both are correct in English quality documents; what matters is consistency across the procedure. Check the free sample on a requirements paragraph, then confirm in the translation that the same obligation always uses the same verb.
Can the translation be used for an audit or a regulatory file?
It can serve as the basis of your English version, which you then approve under your document control. If the authority asks for a sworn or certified translation, Manuce does not produce one.
Will the document code and revision in my header be kept?
Headers and footers are translated and keep their formatting. An identifier such as PRO-QUA-012 should not change, only an abbreviation like rév. becomes Rev.; check it in the delivered file.
