Translate a quality procedure (SOP) in Word into German

Upload your SOP as a .docx and Manuce passes it to Dédale, its technical specialist engine, then returns the same file in German with tables, approval block and headers in place. You check a free paragraph before paying, then review what matters in German: obligation verbs, instruction style and table cells where compound nouns grow.

What changes when an SOP goes into German

In a quality procedure every modal verb carries weight. The usual German trap is negation: ‘The operator must not open the valve’ needs darf nicht (prohibited), never muss nicht, which means ‘does not have to’. Likewise shall maps to muss and should to sollte; a recommendation must not quietly become a requirement.

German work instructions often use the infinitive for steps (Probe entnehmen.) or the polite imperative (Entnehmen Sie die Probe.). Both are acceptable, but one SOP should not switch between them from step to step, so this is worth checking on review.

Quality-system vocabulary has settled equivalents: Zweck (purpose), Geltungsbereich (scope), Verantwortlichkeiten (responsibilities), Mitgeltende Unterlagen (related documents), Abweichung (deviation), Freigabe (approval). Depending on the sector, the document itself is a Verfahrensanweisung, Arbeitsanweisung or Standardarbeitsanweisung.

Tables, approval blocks and compound nouns

SOPs are full of narrow tables: RACI matrices, revision history, signature blocks. German strains them. ‘Quality assurance officer’ becomes Qualitätssicherungsbeauftragter and ‘cleaning validation’ becomes Reinigungsvalidierung: single words that cannot break without a hyphen and can take twice the width. German text typically runs 20 to 35% longer than English.

Because the original column widths are kept, the German wraps and table rows get taller. Nothing overflows, but a 14-page SOP may gain a page, and a ‘Prepared / Reviewed / Approved’ block (Erstellt / Geprüft / Freigegeben) can split across a page break. Look at these tables first when you open the translated file.

Form-style labels such as ‘sample(s)’ have a German pattern: Probe(n). German has only two plural categories, singular and plural, but the plural often changes the noun ending (Charge, Chargen).

Dates, numbers, units and German conventions

German writes dates as 03.06.2025 and uses a decimal comma with a point for thousands: 0,5 ml, 1.000 kg. If your SOP is in English, a tolerance written 1,000.5 g must become 1.000,5 g; a misread separator in a specification is a real error, so check numeric tables. Quotation marks open low: „Freigabe“. Every noun is capitalised, including verbal nouns (das Reinigen).

A footer ‘Page 3 of 14’ becomes Seite 3 von 14; if those numbers are Word fields, they keep calculating on their own.

For job titles, many German companies now use inclusive forms (Mitarbeitende, Prüfer/-in), others keep the generic masculine. There is no single rule: check that the form used matches your German site’s practice and stays consistent throughout.

What Manuce returns, and what it does not do

Your SOP is handled by Dédale, the technical specialist engine. It translates:

  • body paragraphs and numbered step lists;
  • tables, with a merged cell translated and charged only once;
  • headers and footers (procedure title, code, version);
  • text boxes, common in simple flowcharts.

The .docx is rebuilt run by run: fonts, sizes, colours, bold and italic, styles, numbering and table widths stay as in the original. An automatic check compares the layout of the translated document with the original and flags any difference. You receive the file in its original format, plus a Word version, a PDF and plain text.

What is not done: automatic fields (table of contents, cross-references such as ‘see 5.2’) keep working, but page numbers are only recalculated once you update fields in Word. Manuce does not produce sworn or certified translations. And the translation does not replace approval of the German version by your quality team.

Preparing the SOP and checking the German

Before uploading:

  • accept or reject tracked changes and remove review comments;
  • make sure flowchart text is real text, not a picture: images are not translated.

For the free sample, pick a paragraph of steps or requirements if you can: it shows how muss, darf nicht and instruction style come out. If the SOP cites codes that must stay as they are (SOP-QA-012, EN ISO 13485, software names), check them in the sample and then in the full translation.

After delivery:

  1. open the .docx and update fields for the contents page and cross-references;
  2. scan narrow tables and the signature block;
  3. reread every negation and every obligation verb;
  4. have the German version approved under its own revision index.

In practice

  1. Upload the SOP as a .docx: the quote appears at once, based on the exact word count.
  2. Choose a level and read the free sample: check muss, darf nicht and document codes.
  3. Pay: the German translation arrives within minutes in your client area.
  4. Open the .docx, update fields, then check tables and the signature block.
  5. Have your quality team approve the German version before release.

Frequently asked questions

Can the German translation be used for an audit or a regulator?

Manuce does not produce sworn or certified translations. If a body requires a translation certified by an accredited translator, that route is still needed. For internal use or release at a German site, your own quality approval gives the document its status.

Will the contents page and page numbers be right?

Automatic fields keep working, but German lengthens the text and shifts pages. Updating fields in Word recalculates the contents page, cross-references and page numbers.

Will procedure codes and standard references stay unchanged?

They are normally kept, but check: look at the free sample and then the full translation, especially headers and the revision history. Manuce does not take a list of protected terms.

Which level suits an SOP for a German site?

Essentiel is for understanding a procedure internally. Professionnel, handled by the technical specialist, aims at a document ready to pass on. Premium adds the most advanced engine and a cross-review, useful for the most sensitive procedures.

Will German compound nouns break my tables?

Original column widths are kept, so text wraps and rows grow taller rather than overflowing. Check narrow tables and the signature block, which may move to the next page.
