Translate a quality procedure (SOP) into Simplified Chinese
Upload your SOP as a Word file, a text-based PDF or an Excel sheet: Manuce routes it to Dédale, its technical specialist engine, and returns it in Simplified Chinese in the original format, layout included. Chinese quality documents follow firm conventions (standard section headings, graded obligation verbs, full-width punctuation) that you need to know in order to check the result.
What it costs
For a quality procedure (SOP) of about 3,500 words, into Chinese (Simplified):
To understand, internal use.
Ready to send, by the technical specialist.
Cross-checked. For documents that commit you.
Price for one language, original layout included. VAT not applicable — article 293 B of the French General Tax Code (CGI). The exact quote, based on your file's word count, is shown before you pay.
What changes when an SOP goes into Chinese
Quality procedures follow a structure Chinese readers recognise, with established headings. A usable translation uses these terms rather than loose paraphrases:
- Purpose → 目的; Scope → 适用范围; Responsibilities → 职责
- Terms and definitions → 术语和定义; Procedure → 操作程序; Records → 记录
- Revision history → 修订历史; Prepared / Reviewed / Approved block → 编制 / 审核 / 批准
The most sensitive point is the level of obligation. Chinese normative texts grade it clearly: 应 (shall), 不得 or 不应 (shall not), 宜 (should) and 可 (may). If your source mixes "must", "shall", "ensure that" and "should" loosely, the Chinese version has to commit: a requirement rendered with 宜 instead of 应 becomes a mere recommendation, and an auditor will notice.
Steps are written without a subject, verb first, much like English imperatives: "Weigh the sample." becomes 称量样品。, "Record the result on the log sheet." becomes 将结果记录在记录表中。. The expected style is terse and uniform.
Script, punctuation and layout
Chinese has no spaces between words and uses full-width punctuation: ,。:;(). "Temperature: 2–8 °C" becomes 温度:2–8 °C. Numerals stay Arabic and SI units are unchanged. Decimals use a point, so a source written with a decimal comma ("±0,5 °C", common in continental European SOPs) becomes ±0.5 °C. Dates are written 2024年3月15日 or in ISO form 2024-03-15.
Chinese text uses two to three times fewer characters, but each character is wider, so the space taken in a table cell changes little. Parameter tables and record forms keep roughly their dimensions.
Chinese has a single plural category in CLDR terms (other): "1 batch / 3 batches" gives 1批 / 3批. It does, however, use measure words (个, 批, 台 for an instrument) that must match the item counted.
Watch the fonts: a Latin font such as Arial has no Chinese characters. Word then displays them in a fallback font that may differ from one computer to another. If the SOP is distributed as a PDF, re-export it on a machine with a Chinese font so the characters are embedded.
What Manuce returns, and what it does not do
Your procedure is translated by Dédale, the engine specialised in technical texts. Accepted formats: Word, PDF, PowerPoint, Excel, plain text, Markdown, HTML, RTF and CSV. The file comes back in its original format with its layout: headers, signature block, tables and step numbering stay in place. A typical SOP of around 3,500 words is delivered within minutes and kept in your client area.
Manuce translates into Simplified Chinese, used in mainland China and Singapore. For a site in Taiwan or Hong Kong, choose Traditional Chinese, which is handled as a separate language. Chinese carries a ×1.6 coefficient on the per-word rate.
What Manuce does not do:
- it cannot read a scanned PDF (an image with no selectable text);
- it does not produce sworn or certified translations: if a body requires one signed by an accredited translator, you will need a sworn translator;
- it does not take glossaries or translation memories: for your document codes and instrument names, check the free sample and then the delivered file.
The Essential level is enough to understand a supplier's SOP; Professional suits a procedure sent to a Chinese site or contractor.
Preparing the SOP before upload
- Start from the source Word file rather than the signed PDF: the output will be easier to bring back into your document management system.
- Accept or reject tracked changes and remove internal comments so that only approved text is translated.
- Test the PDF if it is your only source: if you cannot select a sentence with the mouse, it is an image and will not be read. The same applies to a flowchart pasted in as a screenshot.
- Make the source consistent: an instrument called "incubator" in step 3 and "chamber" in step 7 may end up with two different Chinese names.
- Note what must not change: references such as
SOP-QA-012, version numbers, cross-references to other procedures.
Checking the Chinese version
Before paying, read the free sample, ideally a paragraph from the procedure section, where requirements are densest. After delivery, check first:
- consistent use of
应and不得across every requirement; - document codes, equipment references and batch numbers, identical to the source;
- values and tolerances (decimal point, units, ± signs);
- the revision history and the
编制 / 审核 / 批准block; - character display on the Chinese users' computers.
Then have a Chinese-reading quality manager at the receiving site approve the procedure before it is issued as a controlled copy.
In practice
- Export the approved SOP as Word, or confirm the PDF contains selectable text.
- Upload the file and select Simplified Chinese: the quote appears, based on the exact word count.
- Read the free sample, focusing on obligation verbs and codes.
- Download the translated procedure, check fonts, values and the approval block, then have it approved on site.
Frequently asked questions
Should an SOP be in Simplified or Traditional Chinese?
Simplified Chinese is used in mainland China and Singapore. For a site in Taiwan or Hong Kong you need Traditional Chinese, which Manuce treats as a separate language. If unsure, ask the receiving site which script its own procedures use.
Can the translation be used for an audit or a regulatory submission?
Manuce does not produce sworn or certified translations. If the body requires a translation certified by an accredited translator, you will need to use one. For day-to-day use on site, a Professional translation reviewed by your local quality team is the usual approach.
My procedure only exists as a scanned PDF. Will it work?
No. A scanned PDF is an image without selectable text, and Manuce cannot read it. You need the original Word file or a PDF exported directly from the word processor.
Will document codes and instrument names stay unchanged?
References such as SOP-QA-012 or a model number are normally kept as they are. Manuce does not accept glossaries, so check these items on the free sample and again in the delivered translation.
Will my SOP tables overflow in Chinese?
Rarely: Chinese uses two to three times fewer characters, but wider ones, so the space taken changes little. The file comes back in its format with its layout; the main thing to check is that the font displays the Chinese characters.
