How instructions are written in an Italian SOP

An SOP is essentially a sequence of commands. English uses the bare imperative: Check the temperature, Record the result on the form. Italian technical writing normally uses the infinitive instead: Verificare la temperatura, Registrare il risultato nel modulo. The impersonal si form (si verifica, si registra) tends to be kept for descriptive paragraphs, while the formal Lei imperative (verifichi) is rare in procedures and belongs to letters or instructions addressed to one person.

What matters most is consistency. A single procedure should not switch between Verificare, Verifica and Si verifica from one step to the next: an operator can no longer tell an action to perform from a description.

Modal verbs need the same care. The ISO convention of shall, should and may maps to deve, si raccomanda or dovrebbe, and può. Auditors read requirements through these verbs, so the distinction must survive translation intact.

Italian usually runs longer than English. If your source is English, leave some room in narrow table columns and flowchart boxes; from French or Spanish, the length stays close.

Quality vocabulary and Italian conventions

Italian SOPs follow the terminology of UNI EN ISO 9001. A few equivalents you will meet in almost every procedure:

  • quality management system: sistema di gestione per la qualità (SGQ);
  • nonconformity: non conformità, unchanged in the plural;
  • corrective / preventive action: azione correttiva / azione preventiva, with CAPA often kept in English;
  • management review: riesame della direzione;
  • quality manager: Responsabile Qualità (RQ);
  • work instruction: istruzione operativa (IO);
  • documented information: informazioni documentate.

The revision block has its own labels: Rev., Data, Redatto (prepared), Verificato (checked), Approvato (approved), and page numbering becomes Pagina 3 di 14.

For values, Italian uses a decimal comma and a full stop for thousands (1.250,5 g), a space before the unit (25 °C) and day-first dates (15/03/2025). Watch the accents too: perché and poiché take an acute, è a grave, and the capital is È, not E', a common slip in hand-typed files.

Italian plurals fall into the CLDR categories one, many and other: 1 campione, 3 campioni, but 1 milione di campioni, with di. If your SOP is generated from variable fields, check agreement around numbers.

What Manuce returns, and what it does not do

Your SOP goes to Dédale, Manuce's technical specialist. You upload it as Word, PDF, PowerPoint, Excel, plain text, Markdown, HTML, RTF or CSV, and it comes back in the same format with its layout: responsibility matrices, revision block, step numbering and headers stay where they were. A typical procedure of around 3,500 words, or 14 pages, is delivered within minutes and kept in your client area. For an SOP going to an Italian site, the Professional level is the one intended for documents ready to pass on.

Before paying, a free sample shows one paragraph of your own file translated at the level you chose: a good moment to check how instructions are phrased or how an in-house acronym is handled.

What Manuce does not do:

  • it cannot read a scanned PDF, meaning an image with no selectable text;
  • it does not produce sworn translations: if an Italian authority requires a version certified by a sworn translator, you will need one;
  • it does not take glossaries or translation memories;
  • it does not replace your approval workflow: the Italian version is a new controlled document to be reviewed and approved under your document control.

Preparing the SOP and checking the Italian version

  1. Start from the current revision and accept or reject tracked changes before uploading, so only approved text is translated.
  2. If all you have is a scan, find the original Word file or a PDF exported with selectable text.
  3. List what must stay unchanged: form codes (FRM-QA-012), standard references, equipment names. Check them in the free sample, then in the full translation.
  4. Have the Italian version read by someone at the receiving site, ideally the operator or supervisor who will apply it: they will spot an ambiguous step quickly.
  5. Check every figure: tolerances, temperatures, times. A decimal point left in English style, such as 2.5 instead of 2,5, reads as a thousands separator to an Italian reader.

Finally, state in the revision block that the Italian version is a translation, and which language prevails if the two differ.

In practice

  1. Upload the SOP (Word, PDF with selectable text, Excel…) and get an instant quote.
  2. Choose a level and read the free Italian sample paragraph.
  3. Pay, then download the translated file in its original format.
  4. Have the Italian version reviewed and approved under your document control.

Frequently asked questions

Should the acronym SOP be translated into Italian?

Both are used: SOP is common in international companies, and the Italian equivalent is <i>procedura operativa standard</i> (POS). Check in the free sample, then in the full translation, that the acronym matches your other Italian documents.

Will instructions be written in the infinitive?

The infinitive (<i>Verificare</i>, <i>Registrare</i>) is the usual form in Italian technical procedures, rather than the English-style imperative. The free sample shows the form used on a paragraph of your document; then check consistency across all steps.

My SOP only exists as a scanned PDF. Can you translate it?

No, Manuce cannot read scanned PDFs, which contain only an image with no selectable text. Find the original Word file or a PDF exported directly from your word processor.

Is the translation officially valid in Italy?

No, Manuce does not produce sworn translations. For internal use or audits, the Italian version is a document within your quality system, approved like any other; if an authority requires a certified translation, use a sworn translator.

Do the revision block and tables stay in place?

Yes, the file comes back in its original format with its layout. Block labels are translated (<i>Redatto</i>, <i>Verificato</i>, <i>Approvato</i>), but names, dates and signatures are yours to update when the Italian version is approved.
