Translate a user manual PDF into Italian
Upload your manual’s PDF: Manuce routes it to Dédale, its technical specialist engine, and returns a PDF in which the Italian text sits where the original text was, with diagrams and background intact. You also get a Word version, a formatted PDF and plain text. The PDF must contain selectable text; scanned pages are not read.
What it costs
For a user manual of about 8,000 words, into Italian:
To understand, internal use.
Ready to send, by the technical specialist.
Cross-checked. For documents that commit you.
Price for one language, original layout included. VAT not applicable — article 293 B of the French General Tax Code (CGI). The exact quote, based on your file's word count, is shown before you pay.
How Italian manuals are written
Italian instructions do not address the reader the way English ones do. Where English uses the imperative (Press the power button), Italian manuals mostly use the impersonal infinitive: Premere il tasto di accensione, Scollegare l’alimentazione prima della pulizia. When the text speaks to the user directly, in the introduction, warranty or customer service pages, it uses the formal Lei: La ringraziamo per aver scelto questo prodotto, never the informal tu. A manual that switches between forms from page to page reads as careless.
- Safety notices: the usual signal words are PERICOLO, AVVERTENZA and ATTENZIONE. They rank the level of risk and must stay identical throughout.
- Numbers and units: decimal comma and full stop for thousands (
2,5 mm,1.200 W), a space between value and unit, dates as31/12/2025. A source written as1,200 Wmust not be carried over unchanged. - Accents: Italian separates è (“is”) from the acute accent in perché or poiché. In capitals the correct form is È, not E', a frequent slip in headings and warning boxes.
- Plurals: 1 vite, 4 viti; 1 batteria, 2 batterie. Parts lists are full of them, and a wrong agreement is easy to spot.
Layout: what Italian does to a PDF manual
Coming from English, Italian text runs noticeably longer: Power becomes Alimentazione, Low battery becomes Batteria scarica. From French the length is similar. In a manual, running paragraphs rarely cause trouble; tight spaces do: numbered diagram callouts, cells in the technical specifications table, warning boxes, column headers in the troubleshooting section.
Manuce places the translation in the same box as the original text. If it is longer, the text size is reduced until it fits. In a normal paragraph the difference is barely visible; in a two-word callout that has become Pulsante di accensione/spegnimento, the type can become small. That is where to look first.
- Text inside images: a screenshot or a diagram saved as an image stays as it is, in the source language. Only selectable text is translated.
- Fonts: the original font is reused, or an equivalent. Check that accented capitals (È, À) display properly in headings.
- Device labels: if the product’s screen stays in English, the manual must quote
Settingsas it appears; otherwise an Italian user will look for an Impostazioni menu that does not exist.
What Manuce delivers, and what it does not do
The manual is handled by Dédale, the engine specialised in technical writing. It reads the PDF block by block, recording each block’s position, font, size and colour. For a typical manual of around 8,000 words (about 30 pages), the translation is delivered within minutes and kept in your client area.
You receive:
- the re-laid-out PDF: original text removed, Italian placed in its position, images and background kept, page numbers unchanged, so cross-references such as vedere pagina 12 still hold;
- an editable Word version, handy for reworking a cramped callout or importing the text into your desktop publishing tool;
- a formatted PDF and the plain text.
What Manuce does not do:
- a scanned PDF (page images with no selectable text) is not read;
- text embedded in images is not translated;
- Manuce does not produce certified (sworn) translations and does not check your manual for regulatory compliance; that review remains with whoever places the product on the market.
For a manual going to customers in Italy, the Professional or Premium level fits; Essential is enough for internal use.
Preparing the PDF and checking the Italian version
Before uploading, try selecting a sentence in a warning box and a value in the specifications table. If nothing highlights, the file is an image: go back to the PDF exported from your authoring or layout software rather than a printed and rescanned copy. Remove pages that need no translation too (declarations already available in Italian, blank pages), since the quote is based on the exact word count.
The free sample, one paragraph translated at the level you choose, lets you check two things before paying: the form of the instructions (infinitive or Lei) and terms that must stay unchanged, such as the model name XR-200 or an on-screen label.
On delivery, review these first:
- the PERICOLO, AVVERTENZA and ATTENZIONE boxes: the same signal word for the same risk level everywhere;
- the specifications table: decimal commas, units, values unchanged;
- diagram callouts: still legible after any text size reduction;
- button and menu names quoted in the text, compared with the actual device.
In the European Union, product rules generally require instructions in the language of the country of sale; have the safety instructions reviewed by your Italian distributor or an Italian-speaking reviewer before release.
In practice
- Check that the text in your PDF can be selected; if not, use the exported source file.
- Upload the manual: the quote appears at once, based on the exact word count.
- Choose a level and read the free sample: instruction form, model name, screen labels.
- Pay, then download the re-laid-out PDF, Word version, formatted PDF and plain text.
- Review the warnings, the specifications table and the diagram callouts.
Frequently asked questions
My manual is a scanned PDF. Can you translate it?
No. Manuce reads the selectable text in a PDF, and a scanned page is only an image. You need the PDF exported from the software the manual was written in.
Will the manual’s layout be kept?
Yes. The Italian text goes into the same box as the original, in the original font or an equivalent, and images and background stay in place. If the translation is longer, the text size is reduced to fit, so check callouts and narrow table cells in particular.
Should Italian instructions use the imperative or the infinitive?
Italian manuals mostly write steps in the impersonal infinitive (<i>Premere</i>, <i>Collegare</i>) and use the formal <i>Lei</i> where the reader is addressed directly. The free sample lets you see how your text is rendered before paying.
Will text in diagrams and screenshots be translated?
Only if it is selectable text in the PDF. Text that is part of an image stays in the source language and has to be changed in the original image file.
Is the translation enough for my product to comply in Italy?
Manuce provides a translation, not a regulatory review or a certified translation. Checking the manual against the applicable rules remains the responsibility of the manufacturer or importer.
