Translate a User Manual PDF into Spanish
Upload your user manual as a PDF: Manuce passes it to Dédale, its technical engine, and returns a PDF in which each text block is replaced by Spanish in the same position, with images and backgrounds kept. You also get an editable Word file, a formatted PDF and plain text, so you can adjust anything before release.
What it costs
For a user manual of about 8,000 words, into Spanish:
To understand, internal use.
Ready to send, by the technical specialist.
Cross-checked. For documents that commit you.
Price for one language, original layout included. VAT not applicable — article 293 B of the French General Tax Code (CGI). The exact quote, based on your file's word count, is shown before you pay.
What changes when a manual goes into Spanish
A user manual is built from short instructions, button labels, safety warnings and specification tables. Spanish has firm habits for each.
- Length. Spanish runs longer than English and close to French. From an English original, tight boxes such as diagram callouts, table cells and labels like
PowerbecomingEncendidoare the first to overflow. - Instructions. A Spanish manual picks one form and sticks to it: formal usted (Pulse el botón), informal tú (Pulsa el botón) or the infinitive (Pulsar el botón). Mixing them within one chapter is the most visible flaw.
- Warnings. Safety signal words have standard equivalents:
PELIGRO,ADVERTENCIA,PRECAUCIÓN,AVISO. Their order of severity must match the original. - Punctuation. Questions and exclamations open with
¿and¡, including in a troubleshooting FAQ: ¿El aparato no se enciende?
Spain or Latin America: vocabulary and conventions
Know which market the manual is for, because everyday device vocabulary differs between Spain and Latin America.
- ordenador (Spain) / computadora (Mexico, Latin America)
- móvil / celular
- enchufe / tomacorriente or contacto
- Pulse / Presione for “press”
Numbers need the same care: Spain writes 2,5 V with a decimal comma, Mexico 2.5 V with a point. In a specification table, the wrong separator changes how a value is read.
Other rules worth checking: headings capitalise only the first word (Instrucciones de seguridad, not Instrucciones De Seguridad); months and days are lower case; plurals follow the one, many and other categories, which matters if the manual quotes on-screen messages with a variable count such as 1 archivo / %d archivos.
What Manuce delivers, and what it does not do
The manual is handled by Dédale, Manuce’s technical specialist. It reads the PDF block by block, with each block’s position, font, size and colour, then:
- removes the original text and places the Spanish in the same box, using the original font or an equivalent; useful when the embedded font lacks
ñ,á,üor¿; - keeps images, diagrams and page backgrounds;
- reduces the text size where the translation is longer, until it fits its box;
- also delivers a Word version (editable text), a formatted PDF and plain text.
For a typical manual of around 8,000 words (about thirty pages), the translation arrives within minutes and stays in your client area.
Not done: a scanned PDF with no selectable text is not read. Text that is part of an image, such as a screenshot or a flattened labelled diagram, stays in the source language. Manuce does not produce sworn or certified translations and does not check regulatory compliance: if the product is sold in Spain or elsewhere, confirming the instructions meet the rules for your product remains your responsibility.
Preparing the manual PDF
- Check the text is selectable. Try copying a sentence from the safety chapter. If nothing highlights, go back to the source file and export a fresh PDF.
- Export from the layout software rather than printing to PDF: text blocks stay better separated, which gives cleaner boxes.
- Spot the tight boxes: diagram callouts, narrow columns, troubleshooting tables. These are where text will be scaled down.
- Note what must stay unchanged: product name, model number, labels printed on the device (for instance
RESETorMODEif the casing shows them in English). Check them in the free sample, then in the full translation.
Checking the Spanish version before release
Start with the free sample: one paragraph of your manual translated at the level you choose. Pick a passage with an instruction and a warning, so you can judge the verb form and the safety wording at once. The Professional level, handled by the domain specialist, suits a manual going to customers.
In the full translation, check:
- that instructions use one form throughout (Pulse everywhere, or Pulsar everywhere);
- vocabulary for your market (ordenador or computadora) and the decimal separator in tables;
- legibility of any blocks that were scaled down, especially warnings;
- button and menu names, which must match what the user sees on the device or screen.
Make corrections in the Word version, which is easier to edit than a PDF.
In practice
- Check that the text in your manual PDF can be selected.
- Upload the file and choose Spanish: the quote appears, based on the exact word count.
- Read the free sample, ideally a passage with an instruction and a warning.
- Download the re-laid-out PDF, the Word file, the formatted PDF and plain text.
- Check instructions, market vocabulary and scaled-down blocks, then correct in Word.
Frequently asked questions
Will the manual be in European or Latin American Spanish?
Check the free sample: a few words such as ordenador or computadora, móvil or celular, make it clear. If your audience uses the other variety, the Word version lets you adjust those terms before release.
Will my manual’s layout be preserved?
Yes: the original text is removed and the Spanish placed in the same box, with images and backgrounds kept. Where the translation is longer, the text size is reduced until it fits, so proofread narrow boxes.
Can you translate a scanned paper manual?
No. A scanned PDF is an image of the page with no selectable text, and Manuce does not read it. Export a PDF with selectable text from the source file instead.
Are labels inside diagrams and screenshots translated?
Only text stored as text in the PDF is read. Anything that is part of an image stays in the source language and has to be edited in the image itself.
Is the translation enough to sell my product in Spain?
Manuce translates the manual but does not check regulatory compliance and does not produce sworn translations. Confirming the requirements that apply to your product is up to you.
